Job Description:
Macquarie Bank - Banking and Financial Services Group (BFS) is dedicated to the distribution of financial services via financial advisers, intermediaries and directly to individuals. The BFS Group is seeking a Project Co-ordinator  to join the Product & Projects team for the Macquarie Cards business. Reporting into the Program Manager, you will be primarily responsible for providing co-ordination and administrative support on a major acquisition / integration program for the Macquarie Credit Card business.  In this integral role you will utilise your Project Co-ordination and administration experience working to ensure high profile programs are delivered within scope, on time and within budget whilst ensuring quality objectives are exceeded.

Job Requirements:

  •     Organised and motivated
  •     Advanced knowledge of MS Office programs and MS Project
  •     Knowledge of and experience using Sharepoint
  •     Understanding of project delivery methodology, tools and practices
  •     Experience in financial tracking and reporting
  •     Excellent communicator and people skills
  •     Excellent writing and communication skills are required with the ability to accurately document discussions and record relevant action items
  •     Knowledge of Project Management Life Cycle methodology
  •     Experience maintaining project plans
  •     Ability to work effectively in a fast paced environment while demonstrating flexibility to adjust to changing work priorities


Job Duties:

  •     Establishing standard and ad hoc meetings as directed, on behalf of the Program Manager, Program Owner, Business Working Group, and Steering Committee - including preparation and distribution of agendas and supporting material
  •     Issuing the agenda (including any supplementary info) and minutes for any required project related meetings.
  •     Responsible for managing the project filing system to ensure key documentation and information is accessible to authorised parties
  •     Responsible for maintaining the project's RAID log with updates received from stream leads
  •     Responsible for managing updates to the project's schedule via the stream leads
  •     Provide administration support to the Project Team and Work Stream Leads where appropriate
  •     Responsible for maintaining and communicating the Project Contact List and Leave Register
  •     Maintain and improve the project management methodology/SDLC to support better project management delivery
  •     Establish standards, tools and procedures for use on the project, including Issue, Risk, Change and Information Management.
  •     Manage the Project / Document Library.
  •     Support stream leads  in tracking and monitoring projects
  •     Manage the support and provision of project tools and equipment.
  •     Assist with contract management and SLA reporting
  •     Assist with resource & financial tracking across the projects portfolio ensuring resource and financial forecasts are kept up to date
  •     Collaborates well with the broader business and IT teams (e.g. IT, business project teams, Business Management) to ensure project reporting is reconciled and kept up to date.
  •     Monitor and provide support to instil adherence to the Project Management Plan across the project environment
  •     Investigation, challenge and qualification of activity and milestone status information
  •     Raising of any relevant queries / issues to the Project Manager for adjudication / action in a timely manner
  •     Provide ad hoc scheduling assistance across the project environment where appropriate
  •     Translation, integration and presentation of work stream schedule information into the Master Project  Schedule, requiring high levels of interaction with all Work Stream Leads
  •     Identification and reporting of any key milestone slippages (notably those that will impact identified critical-path milestones) including investigation into reason, plans to bring back on track and any potential impacts to project delivery (e.g. scope, cost, time and quality) that may be a consequence
  •     Development and maintenance of the project resource profile
  •     Timely and clear communication of any real or potential schedule impacts to the Program Manager and /or relevant Work Stream Lead - in accordance with the potential severity of the impact/s.
